When you apply for a Malaysia Student Pass, your application will be processed through EMGS (Education Malaysia Global Services). After your university submits your documents, your application will appear on the EMGS Tracking System.
(Stage 1) Application Registered
At 5%, your university has successfully submitted your documents to EMGS, and your application is officially created in the system. This stage simply confirms that your passport copy, academic records, photo, and offer letter have been received. No verification has started yet, but you can now track your progress online using your passport number and nationality.
The appearance of 5% usually takes between one to three working days after the university sends your documents. This step acts as the “starting point” of your visa journey, assuring you that your application is active and ready to move forward.
(Stage 2) Document Verification
At 15%, EMGS begins checking your documents to ensure everything is clear, correct, and matches your offer letter and passport. They verify your identity, academic background, and supporting items submitted by the university. If there are any issues—such as unclear photos, mismatched names, or missing pages—EMGS will request corrections through the institution.
This verification stage is important because it ensures your application meets Malaysia’s immigration standards before moving to security checks. It typically takes three to seven working days, depending on document quality and approval queues. Once verified, your file is ready for immigration screening.
(Stage 3) Security Screening
At 35%, your profile is sent to Malaysia Immigration for a routine background and security check. This applies to all international students, regardless of nationality. Immigration officers review your travel history, passport validity, and overall eligibility to study in Malaysia. This stage can be quick for some students but may take longer for applicants from high-check countries or those with previous visa records.
The purpose of this step is to ensure that you meet Malaysia’s entry requirements and pose no security risk. Processing usually takes between five to fourteen working days before the application returns to EMGS for further evaluation.
(Stage 4) EMGS Processing
Reaching 50% means EMGS has received clearance from Immigration and continues with internal processing. At this stage, they confirm your insurance, institution details, program information, and any additional documents required by your university. It is essentially the final review before your Visa Approval Letter moves toward approval. This step ensures that all details are aligned and that the university has validated your enrolment.
Once everything is confirmed, your application becomes ready for VAL issuance. The process generally takes a few working days and marks a major progression toward your student visa approval.
(Stage 5) VAL Issuance Process
When your application reaches 70%, EMGS and Immigration begin preparing your Visa Approval Letter (VAL). This letter is the official document you need to enter Malaysia as a student. EMGS finalizes all information, and Immigration conducts a final endorsement before issuing the VAL. For many students, this is one of the most exciting stages because it signals that your visa is almost approved. Processing time typically ranges from three to seven working days, depending on volume. Once completed, your VAL becomes ready for download, allowing you to arrange travel, purchase insurance, and plan your arrival.
- Arrival E-Visa/EVAL Activation (for students already in Malaysia)
Students applying from inside Malaysia do not need to leave the country to obtain their visa. Instead of a physical VAL for entry, EMGS activates an Electronic Visa Approval Letter (EVAL), which works as your in-country authorization. This stage confirms that your documents and program have been fully validated and that Immigration allows you to complete the process without traveling. Once your EVAL is active, you will proceed with post-arrival steps such as medical checks and final endorsement. This method is faster and more convenient for students who are already residing in Malaysia for short-term courses or transfers.
(Stage 6) Medical Check-Up
At 80%, you complete your medical check-up at an EMGS-approved clinic. This must be done within seven days of arriving in Malaysia if you entered using your VAL. The clinic examines general health, X-ray results, and any conditions that may affect your ability to study. The results are submitted directly to EMGS for verification. If everything is clear, your application progresses smoothly. If issues arise, EMGS may request further tests or documentation. This stage usually takes around three to five working days and is required before Immigration can endorse your student visa in your passport.
(Stage 7) Visa Endorsement
At 90%, EMGS submits your passport to Malaysia Immigration for the final endorsement. During this stage, Immigration prints and attaches your Student Pass sticker, confirming your legal right to study in the country. This is the final administrative step, so processing time may vary depending on peak seasons, public holidays, and student volume. Typically, endorsement takes about 5 to10 working days. Once completed, EMGS returns your passport through your university, and your student status becomes fully active. You are now officially recognized as a student in Malaysia.
(Stage 8): 100% – Visa Completed
At 100%, your Student Pass has been fully approved, and your passport now contains the visa sticker showing your program, institution, and validity dates. You may also receive an i-Kad depending on your institution. This stage means you can legally reside and study in Malaysia, travel in and out of the country, open a bank account, and enjoy all student privileges. The visa is typically valid for, though some programs—especially Masters, PhD, and medical courses—may receive 2 or 3 years of validity. You must renew your visa 30–60 days before the expiry date to avoid penalties or overstays.
